Terms and conditions
Booking Procedure
Bookings are to be made preferably 31 days prior to commencement of a tour to guarantee specified accommodation and to avoid disappointment. A NON-REFUNDABLE 20% deposit is needed to secure your booking, and full payment is needed 14 days before departure. Bookings made within 14 days of departure must be accompanied by full payment. We reserve the right to cancel any reservation for which the total tour price has not been paid by the due, in which event the deposit paid will be forfeited.
Cancellation and other Insurance
Travel insurance is compulsory and should you not have arranged in your country of origin, then Geometric Tours can arrange insurance on request to cover you in the event of cancellation and any medical or rescue expenses incurred. Contact our office in this regard.
Cancellation Procedure
Cancellation will only be accepted if Geometric Tours is notified in writing (e-mail, fax or letter). Should a person cancel any tour and cannot find immediate replacement, the following applies:
If Geometric Tours has received not less than 3 weeks notice of cancellation, will forfeit the deposit only. If Geometric Tours has received less than 3 weeks notice of cancellation, the client will forfeit the deposit as well as be liable for pro rated cancellation fee as set as follows: 27 – 21 days 40% of total price 20 – 14 days 60% of total price 13 – 0 days 100% of the total price If you fail to join a tour or join it after departure, or leave it prior to its completion, no reimbursement will be made whatsoever.
Change of Booking
If after confirming your booking, you wish to change to an alternative departure date, you may do so subject to availability and by agreement with our booking office. Should we not be able to accommodate your request and you therefore must cancel, our usual cancellation procedure will apply.
Luggage Allowance
Baggage on all our tours (except day tours) will be strictly limited to no large bag (barrel bag, soft suitcase or backpack preferably internal frame) weighing a maximum of 25kg. We will also then allow a smaller hand bag or camera bag per person. Luggage and personal effects are conveyed entirely at your own risk. Hard-bodied suitcases will be allowed on private and luxury tours exceeding the bag weight.
Passport, visa, and health procedure
The onus rests upon the client to ensure that passports, visa and health requirements are valid for the countries visited. Please note that it is strongly recommended that you consult your local General Practitioner in connection with Malaria precautions to be taken unless otherwise stated
Refunds
Whilst the company endeavours to ensure that all the anticipated restaurants, accommodation, attractions, etc. are available as planned, there shall be no claim of any nature whatsoever against the company for a refund wither on part or whole, if any accommodation or excursion is unavailable or the passenger was unable to use the service.
Liability
Geometric Tours does not accept the responsibility for any client in respect of any loss, injury, damage, accident, fatality, delay or any inconvenience unlawfully or wilfully caused by any employees, guides or affiliates due to negligence or incompetence.
Indemnity
Due to the nature of hiking, camping, touring, driving and general third world conditions on out adventure / tours, Geometric Tours, their employees, guides and affiliates do not accept any responsibility for any client or dependant thereof in respect of any loss, injury, damage, accident, fatality, delay or any inconvenience experienced from time of departure to time of return, subsequent to date if return, such loss injury, etc arising out of such adventure/ tours/ organised by Geometric Tours.
Should an adventure/tour can be cancelled by Geometric Tours due to weather conditions or other reasons, it shall either refund a full payment or offer a substitute adventure/tour. Should Geometric Tours have to curtail an adventure/tour for any reason or factors after the time of departure. Geometric Tours will not be liable for any form of refund whatsoever, although everything will be done to complete an adventure/tour or to utilise alternative arrangement or venue.
Minimum Passengers
All the tours are subject to a minimum of 4 pax travelling, although a tour may still operate with fewer people at the discretion of Geometric Tours. Geometric Tours work in conjunction with other Black Tour Operators, but may still utilise other operators in events of unavailability or ay reason whatsoever. Should a client decide to curtail a tour for any reason whatsoever, Geometric Tours will not be liable for any refund, or if the price is privately arranged.
Tour Prices
Prices are quoted in South African Rand (ZAR) and are subject to change without prior notice. Prices are also subject to adjustment in the event of changes in the Value Added Tax (VAT), fuel prices, rate f exchange, etc. Vat is included where applicable. Tour prices do not include telephone, personal calls, personal laundry, forex, beverages, gratuities and excursions not specified and any other items of personal nature unless a actually specified.
